Privacy Policy

This Privacy Policy explains how Voice Tree AI Inc. ("Voice Tree AI," "we," "us") collects, uses, and shares information in connection with our AI voice platform, our websites, and the calls placed and answered through the service.

1. Who this policy covers

We process information about three distinct groups, and this policy addresses all three:

  • Customers — the businesses and account holders who use Voice Tree AI.
  • Callers — the people who call our customers, or whom our customers' AI agents call. Callers are data subjects too, not merely a byproduct of the service.
  • Site visitors — people who browse our websites or submit a demo or contact request.

2. Our role: controller vs. processor

For information about our customers and site visitors, we act as a controller. For caller data captured through calls our customers place or receive, we generally act as a processor acting on the customer's instructions — the customer is the controller and is responsible for the lawful basis of each call. This distinction governs our data processing terms with customers.

3. What we collect from callers

When a call is placed or answered through the service, we may process:

  • Phone number and, where provided, caller name;
  • Call audio and recordings, where recording is enabled;
  • Transcripts of the conversation;
  • Derived data such as sentiment scores, lead qualification, and intent classification;
  • Call metadata — time, duration, carrier, and approximate geography.

4. Call recording and disclosure

Where recording is enabled by a customer, the service defaults to a spoken disclosure at the start of the call (for example, "This call may be recorded for quality purposes"). Federal law generally permits one-party consent, but a number of U.S. states require all-party consent; because jurisdiction is determined by where the caller is, the disclosure is on by default.

Customers are responsible for configuring recording settings lawfully for the jurisdictions in which they operate. We log the disclosure (timestamp, text spoken, and call ID) so it can be produced if challenged.

5. AI training

We do not use customer call audio or transcripts to train our own models, and we do not sell caller data. Where we rely on third-party model providers, we contract to prevent your call content from being used to train their models. If this ever changes, we will disclose it here before the change takes effect.

6. Retention

We retain data only as long as needed for the purposes described here:

  • Call audio recordings: up to 90 days, unless a customer configures a shorter period or requires longer retention for their own records.
  • Transcripts and derived data: up to 24 months.
  • Consent and disclosure logs: at least 4 years (to cover the applicable statute of limitations).
  • Customer account and billing records: for the life of the account and as required by law thereafter.

7. Subprocessors

We share data with vendors who help us operate the service, including:

  • Telephony / SMS providers (call and message transport);
  • AI model and speech-to-text / text-to-speech providers;
  • Cloud hosting and infrastructure;
  • Authentication (Clerk);
  • Payments (Stripe);
  • Analytics and error monitoring.

8. Your rights (CCPA/CPRA and others)

Depending on where you live, you may have the right to access, delete, or correct your personal information, and to opt out of the sale or sharing of it. Under the California Consumer Privacy Act as amended by the CPRA, California residents have these rights, and we do not sell personal information.

To exercise a right, email privacy@voicetreeai.com. If you are a caller who interacted with one of our customers, your request generally must be directed to that customer (the controller); we will route it to them and assist as their processor. We will not discriminate against you for exercising your rights.

9. Children's data

The service is intended for business use and is not directed to children. We do not knowingly collect personal information from children under 13 (or the applicable age in your jurisdiction).
